Parent Teacher Association
The Parent-Teacher Association (PTA) of our college is a collaborative forum that brings together parents, teachers, and school management to support the holistic development of students. The PTA plays a vital role in promoting effective communication between parents and teachers, addressing concerns related to students’ academic progress and well-being, and organizing activities that enrich the educational experience. Through its various initiatives, the PTA aims to enhance the overall learning environment, foster a sense of community, and strengthen the partnership between home and collage.
Aims and Objectives
- To foster and promote good relationships among the members of teaching staff, students and guardians of the students.
- To create in its members an awareness of the importance of creating an academic culture conducive to the promotion of the quality of education, academic and personality development of the students, and maintaining proper discipline, peace and harmony.
- To institute scholarships, prizes, medals etc. to encourage and reward student performance.
- To provide the students with necessary amenities and support and monitor their progress as good students.
Memberships
- The parents/guardians of all the students on the rolls of the College during a year shall be the members of the Association. (b) Every parent shall pay the one-off contribution to the Student Welfare Fund fixed by the Executive Committee at the time of admission.
- When a student is removed from the rolls of the college, the parent/guardian of the student shall ipso facto cease to be a member of the association.
- The Principal and the other members of the teaching staff shall ipso facto be members of the Association.
Administration
- The administration of the Association will be controlled by an Executive Committee, hereinafter referred to as the committee, elected for the purpose.
- The committee shall consist of:
- A President
- A Vice President
- A Secretary elected from among the members of the Teaching Staff
- The Executive Committee will comprise a parent-representative from each major Department in addition to the President, Secretary and Teacher Representative.
- The Vice-President will be elected from the Parent-representatives.
- The term of office of the committee shall be for a period of one year (the year for the purpose shall be the financial year).
- A Committee once elected shall continue to hold office till a new committee assumes charge.
Powers and responsibilities of the executive committee:
- To manage all affairs of the association, and to authorize the President to decide on disbursement and expenses.
- To interact with the members and take their suggestions and opinions to be discussed in EC meetings.
- To hold meetings of the committee at least once in a Semester or oftener if deemed necessary.
- To periodically meet and discuss matters concerning the progress of the students and recommend actions to be taken up.
- To approve the minutes, reports and action plans for the year and for the ensuing year to be placed before the general body.
- To implement all decisions taken by the General body.
Duties of the office bearers: President
- The Principal shall be ex-officio President and the Treasurer of the Association.
- The President shall have control over all the affairs of the Association and shall preside over all committee meetings and the meetings of the general body.
- He/she shall have powers to convene meetings of the committee and of the general body either on his own initiative or on the written requisition of at least 5 members in the case of the committee and 25 members in case of the general body meetings.
- He shall be the sole custodian of all the funds of the Association and all the connected account books, receipt books, vouchers, pass-books etc and is authorized by the Executive Council to decide on fund utilization and operate the accounts of the Association.
- He/she shall maintain proper records of all receipts and payments and such records shall be presented before the committee on demand.
Vice President
- He/she shall be elected from among the parents/guardians.
- In the absence of the President, the Vice-President shall perform all the duties of the President.
The Secretary
- To enroll members.
- To maintain proper registers and records, to keep in safe custody all official papers of the Association and to attend to the day to day correspondence of the Association.
- To convene meetings of the Committee or of the General body when authorized to do so by the President.
- To keep a correct record of the proceedings of all committee and General Body meetings.
- To perform all other functions as may be assigned to him from time to time by the President or by the committee.
Committee meetings
- The quorum for a meeting of the committee shall be six.
- The President shall preside over all committee meetings and in his/her absence the Vice-President. In case Vice-President is also absent, the members of the committee present shall nominate one from among them to be the President of the meetings.
- Three days’ notice shall ordinarily be given for all committee meetings.
- Special meetings of the committee may be convened by the President at the written request of at least 5 members of the committee.
- All decisions shall be by a majority of votes. In case of equality of votes, the President of the meeting shall have a casting vote.
- The PTA Representative Council will be the supreme authority concerning all matters of the association.
- The General body meeting is decentralized and is held Department-wise once in each Semester.
- The business to be transacted at the annual meeting shall include the following:
- To evaluate the progress of the students with regard to their academic performance.
- To suggest measures to improve student amenities and performance.
- To consider and suggest any amendment to bye-laws.
- To elect office bearers to the Executive Committee.
- Seven days notice shall usually be given for all meetings of the General body at the Department level either by direct intimation or by information through the media. Non-receipt of such information by any members shall not however invalidate any of the proceedings of the General body meetings also.
- The General body meeting may be convened on special occasions when there are matters requiring emergency attention. Such a meeting shall consider only the specific matter for which the meeting has been convened.
- The President and in his absence the Vice-President shall preside over all meetings of the Executive Committee and Representative Council. In the absence of both, any member elected from among the members present shall preside.
General
- Any document executed by the Association shall be signed by the President and the Secretary.
- In case of any legal proceedings before a court by or against the Association, the association shall be represented by the Secretary.
- In case of dissolution of the Association at any time, all records and funds shall be taken over, by the President and disposed of in a manner to be decided by the General body.
- The above mentioned rules may be altered or amended by the Council of Representatives after considering the suggestions of the General bodies at the Department levels.
